Subscription Agreement

1. The shape of the agreement

A SchoolERP subscription is charged per student actively enrolled at the School, per month. Staff accounts and parent logins are not charged. The rate depends on the plan the School chooses (which decides the modules it has) and on whether it adds its own branded iOS app; the branded Android app is included in every plan. The list prices are published at the pricing page of our website.

The rate per student per month is agreed with the School before the subscription starts and is recorded in the School's account; where it differs from the list price, the agreed rate applies. Larger rolls may be quoted a lower rate, and a School that pays a full year up front receives the discount stated on the pricing page. A School with fewer students than the minimum stated on the pricing page is billed as that minimum.

2. The free trial and custom charges

There is no setup fee. On signing up the School pays a one-time, non-refundable registration fee of ₹1,000 that books SchoolERP for it; it is billed with the first month, as a separate line. A subscription begins with a free trial during which no software fee is charged. The trial is one month unless SchoolERP sets a longer trial for the School; its length is decided by SchoolERP, recorded in the School's account and shown on the School's billing page. During the trial we import the School's existing data, brand the system, configure its classes, fee heads and roles, and train its staff.

SchoolERP may agree a custom charge with the School — for example for onboarding, data migration or a part-paid trial. A custom charge is added to the month it applies to, appears on the School's billing page and on that month's invoice as a separate line with its own description and amount, and is paid together with that month's bill. No custom charge is made without being shown to the School first.

At the end of the free trial the School may end the subscription with no notice period, no exit fee, nothing further to pay and a full export of its data. This is the point at which the School decides, and it is deliberately placed after the work has been done and seen rather than before.

3. Minimum term

If the School continues past the free trial, the minimum term is one full year from the day the subscription started. The trial counts towards that year.

The minimum term is a commitment to the term, not a bar on leaving: a School may stop using the platform at any time, but the remaining months of the first year remain payable unless we agree otherwise in writing.

4. How the count is taken

The billable count for a month is the number of students with an active enrolment in the School's current session, taken when the invoice for that month is issued.

A student admitted mid-month counts from the month they are admitted. A student who leaves stops counting from the month after their enrolment is closed. Alumni, applicants awaiting a decision and archived records do not count.

Each invoice records the count and the rate used, so the sum can be checked at any time afterwards without recomputing it from today's figures.

5. Optional charges

Two things sit outside the agreed per-student rate:

• A custom domain. The School pays its registrar directly; we add no markup and charge nothing for connecting it. The free web address included in the subscription works identically.
• A single module from a higher plan than the School's own, added at the per-module rate stated on the pricing page. Adding it changes the rate from the next monthly invoice.

6. Custom work

Features built specifically for a School are included at the same per-student rate. There is no change order and no separate quote. We reserve the right to decline work that is not a school-management feature, or that would compromise the platform for other schools.

7. Changing the rate

The agreed rate is held for the minimum term. After that we may revise it with at least sixty days' written notice before the revision takes effect, and the School may end the subscription at the end of the then-current term if it does not accept the new rate.

8. Renewal

After the minimum term the subscription continues month to month on the same terms until either party ends it with thirty days' written notice.
